Presenter Logistics Information


  • Date: Wednesday, July 15, 2:15 - 3:00 pm

    • Please note that due to platform functionality, the schedule will reflect poster sessions as only 15 minutes. The poster session time frame is approximately 45 minutes. 

  • Location:

    • They will be in rooms Scarlet C, Scarlet D, Coral A, Coral B, Coral C, and Coral D in the main conference area, on the 1st floor. You can review the floor plan and check the schedule to see which room your presentation is in.

  • Setup: Wednesday, July 15, 2:10 pm

  • Poster Size, Format & File Type:

    • Poster size: 36” x 48”

    • Foam core boards on easels will be provided to affix posters with mounting materials. eduWeb will put clips on the board.

    • Print your poster as a PDF at 150-300 DPI.

  • Printing Options:

    • Print and bring with you OR

    • Print your poster near the Drury Disney Springs Hotel (conference venue) at the location below. Drury Disney Springs is at 2000 Hotel Plaza Blvd, Buena Vista, FL 32830.

      • FedEx:

        1. Disney Springs: 1501 E Buena Vista Dr, Orlando, FL 32830 - 7.4 miles from Drury

        2. Grand Lake: 7000 Grand Lake Dr, Orlando, FL 32830 - 7.1 miles from Drury

    • Affix your poster session on the foam core board when you arrive at your room, 5 minutes prior to your presentation.

    • Presenters should remove their poster from the display board at the conclusion of the session.

      • Institution/Organization

      • Email Address (optional but recommended)

      • LinkedIn URL or QR Code (optional)

  • Design Principles that Work:

    • Go big on type

    • Stick to a sans-serif font

    • Flow left to right

    • Use visuals, not walls of text

    • Add color with purpose

    • Test before you print

  • Presenter Expectations:

    • Arrive 5 minutes early for setup

    • There are 2 Poster Sessions in each room during the 2:15-3 pm timeframe

    • Engage attendees in conversation

    • Be prepared to give a brief 1–2 minute overview

    • Encourage questions and discussion

    • Adding a QR code to resources or downloads

    • Live demos on a tablet/laptop
