Exhibit Space Details

  • 1st floor - Rooms: pre-function area outside Massachusetts, Vermont & New Hampshire and Connecticut & Rhode Island. Additional exhibit space is inside Vermont & New Hampshire rooms.

Exhibitor Tables

Each exhibitor will receive a black spandex cover clothed table, two chairs and complimentary wireless Internet access.

The exhibiting tables are 6' long, 30 inches wide, and 29 inches high.












Shipping -- UPDATED 4/29/25


  • Exhibiting Materials Shipping:

    • FREIGHT: If your materials are being shipped on a pallet, you need to contact Rick Rose to coordinate delivery.

    • FedEx/UPS/USPS: they can arrive within 7 days of the event

    • Delivery Times: The Hotel accepts deliveries between 9:00 AM and 3:00 PM.  Weekend deliveries and unscheduled deliveries are subject to additional fees. 

    • The Hotel reserves the right to refuse shipments that arrive early.

    • If you want to ship your items to arrive earlier, then ship them to the FedEx Shop in Monuments Square (about three blocks away). They offer a delivery service to the hotel.

  • The Hotel accepts no responsibility for any deliveries that arrive damaged, unmarked or that fail to arrive. 

  • Exhibiting materials will be in the coatroom just off the hallway where you can pick them up.


NOTE: If you would like your shipping materials delivered to your booth directly, instead of the coatroom, the hotel can do that for $100/hr labor. If needed, contact Rick Rose.

Any freight shipments must be coordinated directly with the hotel contact, Rick Rose, and MUST arrive on a liftgate truck (the hotel doesn’t have a loading dock).


Outbound Shipping:

When shipping out, you need to label your shipment(s), put it in the coat closet, and schedule the pick-up. You can use whoever you wish to ship items. The hotel says that UPS and FedEx have a better delivery schedule, usually at least 3 times day.

Business Services

There is a FedEx shop right in Monuments Square (about three blocks away). They offer a delivery service if you want to ship items there and have them delivered to the hotel.


Hotel Parking

The Holiday Inn offers on-site parking. Parking is $20 per night, per vehicle for overnight guests. The parking fee includes complimentary valet. Guests use room keys to access hotel parking. EV Charging available in event parking lot. 


WiFi, AV, & Electricity

  • Optional electricity for single 5 amp is $150 for 3 days; inquire for higher wattage. Please contact eduWeb to put in your request for this service. 

  • Should you require additional AV or hard wired-internet, please send a detailed request to eduWeb to request a quote from the venue. 

  • All billed services must be paid prior to arrival. Late requests (less than 7 days prior to the event will be charged an additional $25 rush fee. 

  • The Summit advises you to bring all the cables your laptop needs to connect.

Set-Up & Tear Down Schedule

  • Set-Up: Tuesday, July 15 -- 8 am - 11:30 am

  • Tear-Down: Thursday, July 17 -- Noon

Exhibiting Hours

  • Tuesday, July 15 -- 11:30 am - 6 pm

  • Wednesday, July 16 -- 8 am - 5 pm

  • Thursday, July 17 -- 8 am - Noon


Hosting an After-Hours Event?

  • eduWeb invites companies to host events outside of conference hours and any other conference sponsored events. 

  • If you would like your event included in promotion to all attendees or listed in the event schedule, please contact the conference.


Booth Engagement

  • Companies are highly encouraged to provide activations, giveaways, games and other activities to engage attendees to increase booth traffic.
